Role purpose
Provide proactive, high-quality PA and business support to senior members of Patria’s US team Client and Capital Formation Group, and lead the delivery of a number of wider business-management responsibilities. Based in New York, the role is part of the PA and Business Support team and acts as a trusted point of coordination: managing complex diaries and international travel, preparing client-ready materials, running meeting and forum logistics, and keeping the office ready for colleagues, clients and visitors. As Patria’s US presence expands, the role will also support other senior leaders as required.
Scope boundaries: Commercial strategy, investor relationships and fundraising remain with the Client and Capital Formation Group; this role enables them through organisation, coordination and execution. HR, IT and facilities processes remain with their owners; this role coordinates on behalf of the team.
What you will own
• Provide proactive PA support to senior members of the US Client and Capital Group team, including complex diary management, international and European travel and logistics, meeting preparation, expenses and general administration.
• Coordinate and diarise the team’s primary business forums and committees (e.g. Board, Management Group, Investment, Risk and Valuation Committees, as relevant), ensuring agendas, papers and follow-ups are organised on time.
• Prepare and format documents, briefings and presentations to client-ready standards; maintain filing and records with discretion and accuracy.
• Act as first point of contact for visitors; coordinate meeting logistics, room bookings and catering; manage mail, deliveries and courier services; support events, roadshows and ad hoc projects.
• Coordinate the Joiners / Movers / Leavers process in collaboration with HR and IT.
• Support wider team tasks such as mailbox management, third-party liaison and DocuSign administration.
• Maintain New York’s office standards and readiness: oversee supplies, liaise with building management and vendors, log and track facilities issues, and ensure H&S and office policies are observed.
• Provide seamless cover for PA and Business Support colleagues, and support other senior leaders.
What success looks like in the first 12 months
1. Senior members of the US Client and Capital Formation Group are consistently well prepared, with diaries, travel, meetings and forums running smoothly and with minimal friction.
2. Business-management processes owned by the role (forum coordination, Joiners / Movers / Leavers, DocuSign and third-party liaison) are documented, reliable and delivered on time.
The New York office is consistently client-ready, and the role is a trusted source of seamless cover across the PA and Business Support team, including support for colleagues in United States.
