Job description
The Executive Assistant will play a critical role in supporting the effectiveness of Patria Investments’ leadership by providing high‑level PA support primarily to a senior member of the Management Committee, while also ensuring the smooth running of the New York office located at 601 Lexington Avenue. Acting as a trusted point of coordination, the role will combine executive assistance with wider office administration and business support, including covering colleagues in Premises/Business Admin as needed and overseeing day‑to‑day office maintenance.
As Patria’s presence continues to expand internationally, particularly in London, the successful candidate will take on additional responsibilities supporting other senior leaders, contributing to the firm’s operational excellence, team cohesion, and client‑ready standards. This is a full‑time, on‑site role (Monday–Friday), requiring strong organisational skills, discretion, and the ability to manage multiple priorities in a dynamic environment.
Key Responsibilities
- Provide proactive, high-quality PA support to senior executives, including complex diary management, international travel and logistics, meeting preparation, expenses, and general administration.
- Act as first point of contact for visitors; coordinate meeting logistics, room bookings, and catering; manage mail, deliveries, and courier services.
- Maintain office standards and readiness: oversee supplies (stationery, catering), liaise with building management and vendors, log and track facilities issues, and ensure H&S/office policies are observed.
- Provide seamless cover for Premises/Business Support colleagues; assist with events, roadshows, and ad hoc projects as required.
- Prepare and format documents, briefings, and presentations to client-ready standards; maintain filing and records with discretion and accuracy.
Skills and Experience
- Proven experience as a Personal Assistant/Executive Assistant, ideally within financial services or a professional services environment.
- Exceptional organisation and prioritisation skills; comfortable managing shifting priorities and escalating where appropriate.
- Strong communication skills (written and verbal); able to engage confidently with senior internal and external stakeholders.
- Relationship management and coordination strengths; able to align multiple stakeholders and competing agendas.
- High work ethic and resilience; accustomed to working to deadlines and delivering under time pressure.
- Collaborative team player; provides reliable cover and contributes to a seamless PA/Business Support service. Operational mindset with ownership of office maintenance and facilities coordination (supplies, vendors, building liaison, basic H&S).
